Recruiting Coordinator ()


Office Location: Boston, MA or New York, NY

Position Summary:


This position offers a challenging opportunity for someone to play a key role in a professional legal recruiting team. Responsibilities will focus on planning and executing all aspects of the Firm’s Summer Associate Program, will facilitate the Fall Recruiting process (“OCI”), and will be charged with lateral associate hiring and integration. Successful candidates will have a professional presence, demonstrate enthusiasm and initiative, exhibit stellar interpersonal, organizational, management, and technical skills.

Qualifications:

Minimum 3 years experience managing full cycle recruiting programs (law firm experience preferred);

Four year college degree;

Superior communication skills;

Excels in a fast pace environment;

Exercises discretion and sound judgment;

Must display a professional demeanor at all times;

Ability to work independently and in a team environment;

Excellent organizational skills and attention to detail;

Ability to problem solve and offer effective solutions;

Proficiency with MS Excel, Word and Power Point strongly preferred;

Knowledge of legal recruitment database Lawcruit and/or viRecruit a plus, but not required;

Some travel required.

Primary Responsibilities:

Summer Associate Program


Provide maximum support to summer associates to ensure that their experience at the firm is of the highest quality;

Manage and execute all aspects of the Summer Associate Program, including, but not limited to, pre-program planning and development, design and implementation of orientation week, plan and organizing social events across multiple offices, work with Professional Development team in order to provide meaningful trainings and seminars, work with Summer Program Chair, and be an integral member of the Summer Committee;

Maintain daily contact with summer associates;

Manage work assignments and work allocation, work with Summer Committee members to ensure sufficient availability of open assignments through out the summer;

Monitor summer associate work flow; track evaluations of work products;

Plan and attend social outings for summer associates and attorneys;

Oversee communication lines to attorneys regarding Summer Program initiatives and objectives;

Participate in weekly Summer Committee meetings and provide committee members the resources and intel to make them effective and successful members of the program.

Fall Recruiting Program

Serve as Firm contact with law schools;

Coordinate on-campus interview registration with law school career service offices;

Conduct review of law schools visited on an on-going basis and recommend strategic changes as appropriate;

Prepare and analyze reports and projections regarding law school recruiting success and other issues for Hiring Committee Co-Chairs;

Responsible for initial resume screening for OCI candidates;

Oversee OCI interviewer preparation and training, overall resource for all Hiring Committee members;

Manage correspondence with call-back candidates, schedule call-back candidates for respective office;

Collect interview feedback from attorneys in order to make timely hiring decisions;

Work with Recruiting Director and Hiring chairs to develop 1L reach-out programs;

Manage collateral marketing materials;

Assist with planning for appropriate interview training.

Lateral Hiring / Orientation and Integration

Responsible for lateral associate hiring in all offices;

Establish and maintain search firm relationships;

Manage interview and offer process for lateral associate searches. (screen resumes, schedule initial and follow-up interviews, collect feedback, facilitate offer discussions and recommendations);

Source, screen and make appropriate recommendations from resume submissions;

Conduct reference and conflict checks for lateral candidates;

Responsible for new lateral associate orientation and integration.

Other Responsibilities

Assess and maintain industry data regarding associate compensation;

Manage recruiting survey distribution and communication;

Maintain Career’s page on firm website;

Write, place advertisements, coordinate interviews for paralegal and GL&S positions as needed;

Keep abreast of current recruiting practices and maintain membership with the local city groups, MALRA and NYCRA as well as NALP.

Payroll & Benefits Specialist (Boston, MA)
Payroll

Prepare and process semi-monthly payroll

Enter deduction and benefit changes into HRIS system

Run HRIS interface for payroll

Produce manual checks as needed

Prepare general ledger interface and import into timekeeper software

Import reverse interface file from payroll system to HRIS monthly

Set up wage garnishments, new deductions, etc.

Process quarterly individual partner payments

Prepare payroll cash forecast for Accounting

Prepare daily cash report for Accounting

Benefits

Create and maintain individual benefits folders

Prepare check requisitions for Fitness and Weight Loss reimbursements

Setup groups and monitor benefit enrollment information entered by new employees in Connect

Assist with set up for wellness programs

Assist in creation of new employee orientation binders and materials

401(k) & Pension

Prepare wire forms for contributions and loan payments for 401k and pension plans

Create & maintain folders for plan participants

Assist in new enrollment processes as needed

Crosby Benefits

Communicate mid-cycle changes and retractions for parking and transit orders

Assist in open and new enrollment processes as needed

Act as liaison between Crosby and our staff and attorneys

United Healthcare & MetLife

Enter and maintain election information in carrier sites

Assist in new enrollment processes as needed

Maintain vendor enrollments/terms/changes:

Life & LTD

Track election information via internal reports

Qualifications

Payroll and benefits experience required

Excellent written and oral communication skills

Proficiency with MS Word and Excel

Strong customer service and interpersonal skills

Flexible, team-oriented, with the ability to work independently

Excellent attention to detail and ability to work under tight deadlines

Experience using ADP PayXpert and iVantage systems a plus
